Discover four major signs it's time to change plan management provider - and how you can make the switch to an NDIS plan manager suited to your needs.

5 Red Flags Indicating You Need to Change NDIS Plan Manager
Key Information
- A good plan manager should make your life easier by being clear, reliable, and easy to deal with.
- Common signs it may be time to move on include poor communication, slow claim processing, lack of complaint pathways, too much admin, and impersonal service.
- Switching providers is usually straightforward: check your notice period, choose a new provider, and sign a new service agreement.
You don't have to wait for your next plan review, or pay any costs to switch. If something doesn't feel right, or you think you should be getting a higher standard of support with your National Disability Insurance Scheme (NDIS) plan funding, you have the choice and control to change providers.
But for many people, it can be hard to know when it's time to move on. What are the warning signs you may need to change plan management providers, and what should you look for in a new one?
1. You're left in the dark about claims and funding
Your plan manager should provide complete transparency and visibility of how you're tracking, including NDIS budget tracking and your claims.
If you're noticing that:
- Your claims are being rejected or delayed with little to no explanation
- You're not sure what's been paid, what's pending, and why
- You're always chasing answers instead of receiving proactive updates
This can be a sign that there's a lack of transparency and communication in the relationship between you and your plan manager. A good plan manager will always ensure you understand what's happening and why, so you have all the information you need to make decisions about your supports and your remaining funding.

2. Claims are taking too long to process
Payment delays can disrupt care, your relationships with other providers or support workers, and the continuity of services. The claims process as a whole isn't known to be fast, and any delays due to plan management only slow it down further.
Having a plan manager should make this process easier for you – it will largely run without needing your input (assuming everything is correct with the invoice, services provided and that you have the right funding available in your current NDIS plan). If you're still feeling worried about it or have providers following up with you because their invoices haven't been processed yet, it may be time to see a new provider who can actually take this off your plate.
3. There's no clear way to give feedback or make a complaint
All NDIS-registered providers are required to have a complaints system. This provides an important layer of protection for participants, and creates a due process where you know your concerns will be heard and acted on.
If it's not clear how you can provide feedback, make a complaint, or if you feel like your feedback is being ignored or dismissed when you contact your plan manager to report issues – this is a big red flag that goes against NDIS standards.
Contacting the NDIS Quality and Safeguards Commission
You have the right to be safe and to receive "quality services" from your chosen providers. If you're not happy with the quality or safety of a provider or support worker, including your plan manager, you're entitled to raise an issue, concern or complaint with the NDIS Quality and Safeguards Commission – especially if you don't feel safe to raise a concern with your provider, or feel like they are not managing your complaints effectively.
4. You're doing more admin than your plan manager
The point of a plan manager is that they will be taking on the financial management of your NDIS plan – like record-keeping, invoice processing, and budget tracking. This should mean you get to spend more time doing what you love, rather than doing financial admin.
If you feel like:
- You're chasing invoices, following up payments, or having to track your budgets yourself
- You're not sure how to interpret your plan, or your funding categories
- You feel like you're "managing the manager" rather than having a helpful, professional relationship
This is a sign to start looking for better help with plan management. The right provider should always take this admin off your plate, not add to it!
5. You feel like just another number
You're getting generic responses, slow replies, or inconsistent communication – and you don't feel confident your plan manager understands and respects your individual needs or goals.
Your NDIS plan is designed to help you as an individual. The supports you access with your plan funding – including plan management – should be personalised too. You should be able to contact your plan management provider and talk to someone who actually knows what's happening with your plan and can provide the updates or answers you need. Even if it's not the same person each time, you should still receive the same standard of personalised service.
You deserve better support!
It might feel 'easier' to stay with your current plan manager, even if you're not happy with their service. But you deserve to work with a plan management partner who makes your life easier – not more confusing or stressful.
Here are 5 green flags to look for in your new provider:
- They're easy to deal with. Communication feels simple, friendly and low-stress whether you're asking a question or submitting paperwork.
- They help you feel confident to use your plan. A good plan manager is also an NDIS expert who can help you understand what's in your current plan and how your funding works.
- They do what they say they'll do. You can rely on them to be organised and consistent.
- They work well with your support network. They communicate smoothly with providers, support coordinators, and family or nominees where needed.
- They treat you like a person, not a number. Service is personal, respectful and genuinely focused on helping you get the most out of your NDIS plan funds.
When you're researching new providers, be sure to check their reviews. Remember to look on third-party platforms like Google or even online forums.

Switching plan management providers is easy
You're entitled to switch your plan management provider at any time if you're not happy. There are three basic steps:
- Giving notice to your current plan manager. Check your service agreement first to make sure you know how long the required notice period is – this can differ between providers.
- Finding your new plan manager. You can use online resources like the NDIS provider finder, NDIS participant forums, or ask your local area coordinator (LAC) for recommendations.
- Signing your new service agreement. Your new plan manager will then coordinate the handover with your old provider, so you can continue using your supports without interruption.
